Location: Remote/ Centre based
Reporting to: Concessions Manager & Group Concessions Manager
Contract: 12-month Fixed Term Contract (Maternity Cover, Part-Time – ~28 Hours/Week)
About the Role
We’re looking for a highly organised and proactive Concessions Assistant to join our team on a 12-month fixed term maternity cover contract. This is a varied and fast-paced role at the heart of our Concessions function, supporting colleagues who are frequently on the road meeting new and existing partners across our garden centres.
You’ll be the central point of coordination – keeping diaries aligned, opportunities tracked, legal processes moving and communication flowing between internal teams and external partners. If you enjoy being the person who keeps everything running smoothly, spotting gaps before they become issues, and taking ownership of your workload, this could be a great fit.
What You’ll Be Doing
Keeping the Team Organised
- Coordinating diaries, arranging meetings and calls, and booking travel/accommodation when needed.
- Leading the weekly team meeting, updating trackers and ensuring actions are followed through.
- Supporting with day-to-day prioritisation and ad hoc requests.
- Reviewing tasks across the team and helping to keep projects on track.
Managing Concession Agreements
- Supporting the process from Heads of Terms through to lease completion and installation.
- Preparing Heads of Terms and licences for new tenants.
- Liaising with solicitors during the legal stage, attending bi-weekly calls and chasing progress where required.
- Keeping on top of lease renewals and prompting discussions 3–6 months in advance.
Driving New Business Opportunities
- Researching and reaching out to potential new concession partners.
- Managing and updating new business and opportunities trackers.
- Reviewing vacant spaces across centres and identifying suitable concession opportunities.
- Managing incoming enquiries, deciding whether to progress or decline, and keeping clear records.
- Identifying and attending relevant trade shows to source new business.
Improving Systems & Processes
- Maintaining internal databases and budgets, ensuring all concession details and rental updates are accurate.
- Keeping team documentation up to date.
- Supporting the development of improved systems to streamline current spreadsheet/manual processes.
What We’re Looking For
We’re less focused on industry background and more interested in your skillset and examples of how you’ve demonstrated it.
You’ll ideally bring:
- Strong organisational and time management skills.
- Excellent attention to detail.
- Confidence working independently and taking ownership of tasks.
- The ability to prioritise and stay calm under pressure.
- Strong written and verbal communication skills.
- Good telephone manner and administrative experience.
- Intermediate to advanced Microsoft Office skills (including Excel formulas and pivot tables).
- Experience maintaining and updating databases.
- GCSEs including Maths and English (or equivalent).
Most importantly, you’ll be flexible, proactive and solutions-focused – someone who sees what needs to be done and gets on with it, while knowing when to escalate.
